Terms and COnditions 

Flow Pilates and Fitness has always been and will continue to be a safe and welcoming space for all of our members.

Below are some guidelines that will help us to provide you with the best service as possible. 

Health and Safety

Your safety and wellbeing is our priority. All of our instructors and contractors are fully qualified in our field. We are NOT medically trained. It is not within our scope to provide you with any other advice or assessment other than that of Pilates.

If you are under the care or supervision of an allied health, or primary care professional, you will need clearance to exercise in writing prior to commencing sessions with us.

Exercise during pregnancy is recommended but also needs to be assessed on a case-by-case basis to ensure that the client is safe and comfortable. Please consider disclosing your pregnancy status to ensure your health and wellbeing needs are met.

There is a risk of injury with any exercise. If you aren’t feeling your best, or have an injury (diagnosed or otherwise), please inform the studio in writing and also communicate with your instructor at the beginning of each session. If you have an injury or don’t feel confident exercising, group sessions are not the right option for you and we suggest that you to take private sessions until you are confident and pain-free.

Attire

Please wear comfortable, clean and fitted clothing that allows your instructor to provide technical feedback. Grip socks are available to purchase at the studio. Please reframe from zippers or loose clothing that might damage our equipment or get caught in the moving parts.

Class

Arrive 5-10 minutes before the start time of your class. You need to be on the mat or in the room ready to go at the start of the class. 

Latecomers (arriving after the advertised start time) are at risk of injury and may disrupt our other members. At the discretion of the instructor, you may not be admitted to group classes and will loose that pass.

Phone on silent – no phone calls to be taken on premises.

Corrections

Our instructors use a number of techniques to queue and correct during class. One such way is by means of tactile feedback or using our hands. It is assumed that by entering our classes you give permission for our instructors to give tactile feedback when necessary. If you do not feel comfortable with our instructors using tactile feedback, please let us know prior to the class.

Hygiene

The studio is a shared space and as such, smelly bodies will be greeted with deodorant and a towel.

We aim to provide a respectful and peaceful environment for all of our clients. We expect our clients to act with kindness and respect for others (staff and clients) at all times. Disrespectful, anti-social or aggressive behaviour will not be tolerated and the offending client may be banned from participating in classes.

Class schedule

We make every possible effort to deliver our sessions inline with our Class Schedule. 

Class Schedules are subject to change; we provide you with notice for permanent schedule changes, but may not able to provide advance notice in cases of last-minute staff or schedule changes. We are not liable in any way to provide you with a refund, credit, transfer, or to offer compensation of any kind, for Classes that are not held in accordance with the Class Schedule, including without limitation any Classes that are changed or cancelled. 

Administration

Please keep up the studio up to date with correct contact details including phone number, email address and billing information.

Cancellation policy

Our studio, like all others in the industry seeks to offer a service available to the community and our clients at all times. Which is why we need to share the responsibility of being organised with our own schedules. Our small classes of 6 fill up quickly, and it is unfair to our other members If you do not cancel your class within a respectable timeframe. 

Private and Semi Private sessions – 24 hour notice is required to avoid being charged the full fee
Group classes – 12 hours notice is required to avoid being charged the full fee 

Notice can be provided by emailing or a phone call. Neither SMS nor messages via social media will be accepted.

Accounts and Membership policies

For any class pass, the date of activation of the pass/es will occur when you first book into a Class using the website or MINDBODY.

No refunds, transfers, suspensions or extensions are offered due to illness, injury, change of address or any other reason. Doctor’s notes can be provided for extreme circumstances.

Expiry periods

Casual Group Passes

Single Pass - 14 days from date of purchase

5 x Class Pass - 60 Days from first visit

10 x Class Pass - 90 Days from first visit

20 x Class Pass - 6 Months from first visit

Monthly Pass

10 x Class Pass - Expires on calendar month. Unused classes do not roll into the next calendar month.

Memberships

Unused classes or visits do not roll into the next calendar month

Privacy

We use a third party client management software “Mindbody Online”. In order to create a client profile, your personal information will be provided to the proprietor of Mindbody Online. The collection and use of personal information by Mindbody Online is governed by Mindbody Online’s privacy policy, which can be viewed: https://www.mindbodyonline.com/privacy-policy

Membership and direct debit information

All membership levels require a minimum commitment of six months.

If the member would like to discontinue the membership, please email tamara@flowpilates.net.au

Memberships only active with current direct debit agreement.

Cancellation Of Membership
Member must provide 14 days notice prior to next direct debit date required to terminate package.

Cancellation notices must be sent to the email address and will not be accepted by phone, in person or social media, or to any other email account.

Debit Information

Memberships will continue to be debited on the same nominated date unless prior written notice is given.

Failure to provide written notification of termination or suspension of membership will result in ongoing direct debits. No refunds will be offered.

We bear no responsibility for additional fees that a holder may incur from their bank in relation to processing payment of fees for Debit Memberships.

Suspension of membership

The contract may be suspended due to holidays, illness or a medical condition for up to 1 month during the 6 month contract.

If the member requires to suspend the membership, this can be done no more than four times within a calendar year.

Suspension notices must be sent to the email address specified (tamara@flowpilates.net.au) and will not be accepted by phone, in person, social media, or to any other email account.
